Privacy Policy

Who this policy covers

This Privacy Policy explains how Simply PetWell LLC ("Simply PetWell," "we," "us," or "our") collects, uses, shares, and protects personal information. It applies to simplypetwell.com (the "Site"), to our one on one canine nutrition consultations, and to any written materials, reports, forms, or correspondence connected to those services (together, the "Services").

By using the Site or booking a consultation, you agree to the practices described here. If you do not agree, please do not use the Site or the Services.

Simply PetWell LLC is a solo practice registered in California. We serve clients in the United States and, where we choose to accept them, internationally.

A short summary

We collect the information you give us when you book and attend a consultation, plus basic technical information collected automatically when you visit the Site. We use it to deliver your consultation, prepare your report, communicate with you, take payment, and run the business. We do not sell your personal information, we do not share it for advertising purposes, and we never publish your name, your dog's name, your photos, or your story without your specific written permission.

Information you provide to us

Booking and payment information. When you schedule a consultation through our scheduling provider, we collect your name, email address, phone number, time zone, and the details you enter into the booking form. Payment is handled by our payment processor. We receive a confirmation that payment succeeded, along with limited transaction details such as the amount, date, and the last four digits and card brand. We never receive or store your full card number, expiration date, or security code.

Intake form and consultation information. Before your consultation we email you an intake form, which you complete and return to us by email. During the consultation we take notes. Depending on what you choose to share, the information we collect can include:

  • Your dog's name, age, breed or breed mix, sex, neuter status, weight, and body condition

  • Current diet, treats, toppers, supplements, feeding routine, and diet history

  • Known or suspected allergies and sensitivities

  • Symptoms, stool and digestion patterns, skin and coat condition, and timing or triggers

  • Veterinary history, current diagnoses, medications, vaccination status, and preventatives

  • Activity level, training, grooming, temperament, and play or chew style

  • Household context such as other pets, people in the home, recent changes, stressors, travel, second residences, and general environment

  • Your general location, typically city and state, since climate, season, and local resources affect recommendations

Communications. If you email us, use the contact form on the Site, call or text us, or message us on social media, we keep the content of those messages and our replies, along with basic call records such as the number, date, and duration.

Optional information. If you volunteer to provide a testimonial, review, photo, or case story, we collect what you send us. See Section 8 for how that is handled.

Information collected automatically

The Site is hosted on Wix. Like most websites, it uses cookies and similar technologies. These may collect:

  • IP address and approximate location derived from it

  • Browser type, device type, and operating system

  • Pages viewed, time on page, referring page, and links clicked

  • Session identifiers used to keep the Site functionin

Some of these cookies are strictly necessary for the Site to work. Others support basic analytics built into our hosting platform and help us understand which pages are useful. We do not run advertising pixels, retargeting tools, or third party advertising analytics. Where required, we present a cookie banner so you can accept or decline non essential cookies. You can also block or delete cookies through your browser settings, though parts of the Site may not function correctly if you do.

Service providers who process information for us

We use a small number of established vendors to run the practice. They may process your information only to provide services to us, and they are not permitted to use it for their own purposes.

  • Wix. Website hosting, the contact form, and basic site analytics. Receives site visit data and anything you submit through a form on the Site.

  • Calendly. Appointment scheduling, confirmations, and reminders. Receives your name, email address, phone number, time zone, and appointment details.

  • Stripe. Payment processing. Your payment details go directly to Stripe. Stripe receives your name, email address, and payment information.

  • Google Workspace. Email, file storage, video calls through Google Meet, and phone calls through Google Voice. Holds our correspondence with you, your completed intake form, our consultation notes, your report, and call records.

Each of these providers maintains its own privacy policy governing how it handles data. We encourage you to review them.

We may also disclose information if we are required to do so by law, court order, or valid legal process, or where we reasonably believe disclosure is necessary to protect the safety of a person or animal, to protect our legal rights, or to investigate fraud. If the practice is ever sold or transferred, client records may transfer as part of that transaction, and we will notify you before your information becomes subject to a different privacy policy.

How we use your information

We use the information described above to:

  • Schedule, prepare for, and conduct your consultation

  • Analyze your dog's diet, symptoms, history, and home context

  • Produce your written report, feeding plan, and any accompanying materials

  • Answer questions and provide any follow up included in your service

  • Process payment and maintain financial records required for tax and accounting purposes

  • Send appointment confirmations, reminders, and service related messages

  • Maintain, secure, and improve the Site

  • Comply with legal obligations and enforce our Terms of Service

We do not currently operate a mailing list and we do not send marketing emails. If we start one, it will be opt in, and you will be able to unsubscribe at any time.

We do not use automated decision making or profiling that produces legal or similarly significant effects.

What we do not do

We want to be specific, because this is the part clients care about most.

  • We do not sell your personal information. We have never sold it and we do not intend to.

  • We do not share your personal information for cross context behavioral advertising.

  • We do not use your information, your dog's information, your photos, or your story in any public post, marketing material, website content, case study, or social media content without your specific, written, advance permission. Silence is not permission. Being a client is not permission. See Section 8.

  • We do not record consultations. Video and phone consultations are not recorded by us. We take written notes only.

  • We do not discuss your consultation with other clients, and we do not confirm or deny whether any particular person is a client.

  • We do not sell or license our client list.

Testimonials, stories, and case examples

Sharing real examples helps other dog owners, but only on your terms.

If we would like to share anything about your dog, your consultation, or your results, we will ask you first, in writing, and we will tell you exactly what we want to share and where it would appear. You are free to say no, and saying no has no effect on your service.

If you agree, you may set conditions, for example first name only, dog's name only, no photos, no location, or no mention of a specific diagnosis. We will follow those conditions.

You may withdraw permission at any time. Email us and we will remove the content from anything we control, such as our website and our own social media accounts, within a reasonable period. Please note that content already reshared, screenshotted, or cached by third parties may not be fully recoverable, and printed materials already distributed cannot be recalled.

When we write general educational content, we may describe patterns we see across many dogs. Anything of this kind is either fully de identified and combined across multiple cases so that no individual client or dog is identifiable, or it is a composite example clearly presented as such.

Cookies and your choices

You can manage cookies through the banner on the Site, where available, or through your browser settings. Most browsers allow you to refuse new cookies, delete existing cookies, and be notified when a cookie is set.

We honor Global Privacy Control and similar browser based opt out signals where our platform supports them.

How long we keep information

We keep client records for as long as needed to deliver the Services and for a reasonable period afterward, so that we can answer follow up questions, understand your dog's history if you return, and meet legal, tax, and accounting obligations.

In general:

  • Consultation records, intake forms, notes, and reports: three years after your last consultation

  • Payment and transaction records: seven years, as required for tax purposes

  • Email and message correspondence: three years

  • Site analytics data: as retained by our hosting platform

Your privacy rights

California residents. California law gives residents certain rights over their personal information. Based on our size, Simply PetWell LLC is not currently a "business" required to comply with the California Consumer Privacy Act. We extend the following rights to all of our clients and Site visitors anyway, as a matter of practice:

  • Know. Request a description of the categories and specific pieces of personal information we have collected about you, where it came from, why we collected it, and who we shared it with.

  • Access. Request a copy of the personal information we hold about you.

  • Correct. Ask us to fix information that is inaccurate.

  • Delete. Ask us to delete your personal information, subject to information we must retain for legal, tax, or recordkeeping reasons.

  • Opt out of sale or sharing. We do not sell or share personal information, so there is nothing to opt out of. If that ever changes, we will update this policy and provide a clear opt out before doing so.

  • No retaliation. We will not deny you service, charge you a different price, or provide a lower quality of service because you exercised any of these rights.

Residents of other U.S. states and other countries. If you live somewhere with comparable privacy rights, including the EU or UK, you may have rights of access, correction, deletion, restriction, objection, and portability. We will honor reasonable requests of this kind regardless of where you live. Where we rely on consent, you may withdraw it at any time.

How to make a request. Email legal@simplypetwell.com with the subject line "Privacy Request." Tell us what you would like us to do. We may need to ask a few questions to confirm your identity, so that we do not disclose your information to someone else. We aim to respond within 45 days. An authorized agent may submit a request on your behalf with written proof of authorization.

Security

We take reasonable steps to protect your information, including limiting access to the accounts and devices used for the practice, using reputable vendors who maintain their own security programs, using strong authentication, and keeping client files in access controlled storage rather than on shared or public systems.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please do not send sensitive financial information, such as full card numbers, by email or text.

Children

The Site and the Services are intended for adults. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, contact us and we will delete it.

Links to other sites

The Site and our written materials may link to third party websites, products, brands, or resources. We do not control those sites and are not responsible for their content or their privacy practices. Once you leave the Site, this policy no longer applies.

Changes to this policy

We may update this policy from time to time. When we do, we will revise the "Last updated" date above. If the changes are significant, we will provide clearer notice, such as a notice on the Site or an email to current clients. Continuing to use the Site or the Services after an update means you accept the revised policy.
